Missed Clock Out Errors

Missed clock out errors in Virtual TimeClock help you easily manage timecards when a worker forgets to clock out at the end of their work day. When enabled, the Missed Stop feature notifies an employee of their missed clock out the next time they attempt to clock in, allowing them to estimate their stop time and continue with their day. Missed clock outs are flagged in red, so administrators can quickly see the error when viewing timecards or payroll reports.

The missed stop error is enabled by default, and is set to trigger the error when a worker remains on the clock for more than 12 hours. This article will explain how to modify or disable the feature, as well as how to handle the errors as a user and as an administrator.

Configuring the Missed Stop Feature
To modify, enable or disable the Missed Stop feature, follow the steps for your edition.

Note: Disabling the Missed Stop feature will not retroactively apply to entries that currently have errors.

Basic Edition

  1. Select Turn Administration On from the File menu
  2. Select Security from the Configure menu.
  3. Use the checkbox for 'Missed Stop' error to enable or disable the feature. Change the threshold hours in the exceeds _ hours box.

  1. Select Apply in the bottom right corner to save the changes.

Note: The Missed Stop feature applies to all users in the Basic Edition.

Pro and Network Edition

  1. Select Turn Administration On from the File menu
  2. Select Display Groups from the Configure menu.
  3. Select a Display Group in the left column.
  4. In the TimeClock Use section, use the checkbox for 'Missed Stop' error to enable or disable the feature. Change the threshold hours in the exceeds _ hours box.
Pro and Network Edition Missed Stop Settings
  1. Select Apply to save your changes.

Note: The Missed Stop feature is set for each display group in Pro and Network editions.

Punching In with a Missed Clock Out
Workers who miss a clock out will be displayed in red on the In & Out Board with an 'X' by their name. The next time a user attempts to use the time clock, they are presented with a Missed Clock Out window. To clock in for the day, the user will estimate their stop time from the previous day, choose Stop and then proceed with clocking in for the day.

Note: Virtual TimeClock will record the actual stop time, but adds a note to the error with user's estimated stop time.

Correcting Missed Stop Errors
A manager or administrator can easily see users with entries that need to be corrected by viewing timecard reports in the Payroll Approval window. Any timecard entries with a Missed Stop error must be corrected before closing the payroll period.

The following steps allow you to quickly correct missed stop errors:

Pro and Network Edition
  1. Select Turn Administration On from the File menu.
  2. Select the Payroll Approval icon in the administrative toolbar on the In & Out Board.
  3. Click on a user who is marked in red and select View Timecard from the menu.
  4. Select the Entry Editor icon in the toolbar of the report.
  5. Double click on the entry in red to modify the entry.
  6. In the Modify Entry window adjust the stop time, uncheck the Stop Error checkbox and click Save.
Note: The Date field defaults to the shift start date.

Basic Edition
  1. Select Turn Administration On from the File menu.
  2. Select the Timecard icon in the administrative toolbar on the In & Out Board.
  3. Review employee timecards and look for Missed Stop errors marked in red.
  4. Select the Entry Editor icon in the report toolbar.
  5. Double click on the entry in red to modify the entry.
  6. In the Modify Entry window adjust the stop error, uncheck the Stop Error checkbox and click Save.
