2022 End-of-Year TimeClock Checklist

The start of a new year is right around the corner and you don’t want it to catch you unprepared. Reviewing the following payroll and timecard checklist will help ensure that you are ready when 2023 arrives!

1.  Carryover Unused Leave Hours
If your employee benefit year follows the calendar year, make sure you review your Virtual TimeClock leave awards and carry over any applicable unused leave hours from 2022.

2.  Update Employee Information
Make sure to keep your employee’s personal information up to date. W-2 forms are due on January 31st, 2023. You can use the employee Notes tab in Virtual TimeClock Users panel to document dates of information changes, wage histories, and even performance reviews.

3.  End-of-Year Payroll
You may have  deadlines for payroll direct deposit submissions several days before the end of the year. Confirm with your payroll provider the final date you can submit payroll for 2022. After you've finalized and approved timecards for the final payroll period of the year, close the payroll period in Virtual TimeClock to protect your data from changes to settings made for the New Year. Don't forget about inactive and terminated employees who earned wages in 2022.

4.  Check Your Backups
Losing your data can be costly as well as time consuming. Protect your Virtual TimeClock data by ensuring that you have automatic Scheduled Backups enabled. Database backup settings can be accessed on your Server Manager (Network Edition), or from the Configure menu of your TimeClock (Basic and Pro Editions).

The end of year is a good time easily verify that your timeclock backups are running as expected!

5.  Important Dates

  • Monday December 26, 2022 | Banks are closed (Observing Christmas Day)
  • Monday January 2, 2023 | Banks are closed (Observing New Year's Day
  • Tuesday January 31, 2023 | W-2 forms are due
