Virtual TimeClock Tips & Tricks - August 2010

The response to last week’s Virtual TimeClock ‘10 Release 2 has been tremendous. Payroll integration is a feature that’s been in the works for quite some time. Let me give you some background. After supporting CheckMark®2 Payroll for several years, we began about a year ago to explore updating Virtual TimeClock payroll integration to support additional payroll software and the best online payroll services. We asked our own customers how they were processing payroll and how satisfied they were with the service. We conducted our own research which included reading reviews from technology sources like PC Magazine and Macworld, and industry specific sources like Accounting Today and CPA Technology Advisor. We were truly looking for unbiased information on who was the best in the business. And we weren’t just looking for easy to use products, they needed the customer service to back it up.

One company continued to rise to the top of our research results, SurePayroll®5. They are the largest full-service online payroll solution. But don’t let the description of being the ‘largest’ scare you. Like us, their software is powerful yet easy-to-use, and they are passionate about taking care of their customers. Their mission statement sums this up quite nicely. “Our mission is to provide the friendliest and simplest online payroll experience on earth – at a price small business owners can afford.” I couldn’t have said it better myself.

Although Virtual TimeClock ‘10 Release 2 includes integration with several other popular online and desktop payroll services, this month’s Tips & Tricks Newsletter will help you get started on Virtual TimeClock Pro integration with SurePayroll®.

Enroll with SurePayroll®
SurePayroll® has partnered with us to offer you special monthly flat rate pricing, and they’re even waiving the time clock integration fee (normally $4.99 per payroll). To get all of the special pricing details or get enrolled, head to Payroll Time Clock Software.

Here’s a quick Tip:
SurePayroll® is offering a six-month money back guarantee. Which means they are so confident that you’ll love their payroll service that you can terminate within six months and they’ll reimburse your payroll fees and give you $100 to cover the costs to switch to a different payroll service.

Set Up SurePayroll® Integration
After you’ve enrolled with SurePayroll®, you’ll need to register for time clock integration from within your SurePayroll® online account. This is a one-time setup that will allow you to import your time and attendance information. Next you’ll need to verify your earning codes and sync your employee identification numbers in Virtual TimeClock. Virtual TimeClock will automatically default to the earning codes that need to be used for SurePayroll®, so it’s easy to get up and going quickly.

Here’s a quick Tip:
We’ve got step-by-step instructions for setting up Virtual TimeClock integration with SurePayroll® at Payroll Time Clock Software.

Upload Your Payroll Hours
Now you’re ready to create your export file and upload your payroll hours into your SurePayroll® online account.

In Virtual TimeClock:
  • From the File menu in your employee time clock software, choose Export Payroll.
  • Click on a worker’s name to include the employee in the payroll export.
  • Select the desired date range and click Export to save the export file to your desktop or a specified folder.

In SurePayroll®:

  • Login to your SurePayroll® online account and select the Payroll Entry page.
  • Click the Time Clock Integration icon, and then click Browse to search for your time clock export file.
  • Click Upload File to import your time clock file into online payroll.
  • Click Return to Payroll Entry to review, edit and approve your payroll hours.

If it sounds easy, that’s because it is!

Here’s a quick Tip:
You may still add bonus pay and such on your Payroll Entry page.

In next month’s newsletter, we’ll discuss payroll integration with Paychex®4, PayChoice®3 and AccountEdge®1 that’s now available with Virtual TimeClock ‘10 Release 2. If you’d like to get started right away, you’ll find detailed configuration guides for each of these products at Payroll Time Clock Software.

Until next month,
