Manually Adding Timecard Entries

Virtual TimeClock allows you to quickly and easily add a manual entry to a timecard. There are two primary ways to add a manual entry. If a user forgets to punch in or out for the day, you can use the In & Out Board to add the missing punch. When you need to add a entirely new entry, you can use the Add Entry option. This article will walk you through both ways to add an entry as well as how to insert a lunch or break entry.

Adding a Missed Start or Stop Entry
If you only need to add a missed punch in or punch out, follow these simple steps:

  1. Select Turn Administration On from the File menu.
  2. From the In & Out Board, click on the user with the missed punch.
  3. Choose Start or Stop from the menu.
  4. Modify the Time field with the correct time and date.

  1. Click the Start or Stop button to save.
  2. Check the In & Out Board to verify that the entry you created is correct.

Adding a Timecard Entry
Follow these steps to add a new entry:

Note: If you need to add an entry in a period that's already closed, you will need to reopen the period first.
  1. Select Turn Administration On from the File menu.
  2. ​Choose Add Entry in the administrative toolbar.
  3. Select a user and fill out the entry details.

  1. ​Select Create to add the new entry.
  2. Select Save & Next to add another entry, or Save & Close to finish.

Adding a Break or Lunch Entry
If employees work off-site and are away from the time clock during their lunch or breaks, you can quickly add a lunch or break to their timecard. 

Note: Breaks and Lunches are only available in Pro and Network Editions.

Insert a Break or Lunch for the Current Day

  1. Select Turn Administration On from the File menu.
  2. Right-click an employee's name and choose Add or Modify Entries.
  3. Select the entry where you need to insert the lunch or break.
  4. From the toolbar, select Insert Break or Insert Lunch.
  5. Enter Begin and End times and click Save

Insert a Break or Lunch to a Prior Day

  1. Select Turn Administration On from the File menu.
  2. Select the Entry Editor icon in the administrative toolbar.
  3. Use the Select Entries option to select a user and the date for the new entry.
  4. Select the entry you want to add a break or lunch to.
  5. Click the Insert Break or Insert Lunch button from the toolbar.
  6. Choose the Begin and End times and click Save.

Once you've added a new timecard entry, it's a good idea to review the user's timecard to ensure that the entry was created properly.
