Virtual TimeClock Tips & Tricks - December 2011

2011 has been a busy year at Redcort Software. We have some new faces and talent, we lost a long time customer service team member to motherhood, and we have big plans for 2012. We started 2011 with the United States Patent & Trademark office registering Virtual TimeClock and Virtual TimeClock Pro as trademarks of Redcort Software, Inc. We’re proud to celebrate our 25th year by having our time clock software brands officially recognized. Next, we released Virtual TimeClock ‘11 which was designed to control employee overtime by introducing new shift rules. Those of you who’ve taken advantage of the clock in and out restrictions know how powerful they can be. We added more time & attendance resources to our website for employers. And we finished up the year with Virtual TimeClock ‘11 Release 2 which added Apple OS X 10.7 Lion compatibility.

While 2011 has been a productive year, I’m really excited about what’s planned for 2012. At the risk of personal injury (engineers don’t like it when I share what’s on the drawing board), here’s what we’re working on:

  • Personal time clock client – designed for single user workstations with all the administrative functions removed for easy setup and use
  • PIN client for groups – designed for multi-user time clock stations with ID based access to provide more anonymity and make it easier to use with large worker lists
  • Administrative control panel – all the administrative functions consolidated under one command center
  • Security enhancements – challenge questions and biometric integration to completely eliminate buddy punching
  • Multiple time zone support – run time clocks in different time zones without the need for separate time clock servers
  • iOS apps – I’ve seen the iPhone and iApp user interface mock ups, prepare to be blown away

As part of our December tradition, this month’s ‘Tips & Tricks’ newsletter will outline some important things to consider as you close out another successful year with Virtual TimeClock.

Here’s what another Virtual TimeClock customer said about SurePayroll®: “While SurePayroll® is a great online payroll solution, the best thing about using SurePayroll® is the ability to pay our employees by direct deposit. Prior to SurePayroll®, we had used an accounting service for doing our payroll but we're happy we switched. I would definitely recommend SurePayroll® to another small business customer.” Knoxville Periodontics, Virtual TimeClock user since 2008.

Here’s a quick Tip:
Contact SurePayroll® at 877-954-7873 and let them know you’re a Virtual TimeClock User or visit SurePayroll®.

Carry over unused leave awards
If your leave awards are based on the calendar year, then run the Accrued and Used Leave report through 12/31/11 to determine the remaining leave balances for each employee. This is also the time to update any new leave award benefits based on your business rules.

Here’s a quick Tip:
We’ve written a detailed article on carrying over unused leave awards.

Enter 2012 paid holidays
Now’s the time to enter all the paid holidays your employees will receive for the next calendar year.  Go to the Actions menu and choose Add Leave Entry.  Select the employees that get credit for the holiday and choose the date. Add a note with the name of the holiday for reference.

Here’s a quick Tip:
The holidays will automatically show up on employee time cards in the appropriate payroll period.

Check that scheduled backup
Make sure you’re backing up your time clock software data and check your backup logs to make sure backups have been occurring frequently and successfully. On Virtual TimeClock Pro, go to the Tools menu and choose Program Logs. On Network Edition, launch Virtual TimeClock Server Manager and click Logs.

Here’s a quick Tip:
Windows backups failing? One of our support blogs may help.

I hope your year has been as productive as ours. All of us at Redcort Software hope you have a joyful Christmas and a wonderful New Year’s celebration!

Until next year,

Jeff Morrow
