Virtual TimeClock has a pretty robust leave module that allows you keep track of how much paid and unpaid leave employees have earned and used. But managing requests for time off can often be frustrating if you don’t have a consistent and reliable system in place to request and approve them. With the holiday season right around the corner, now’s the perfect time to get a handle on employee time off requests. Here are a couple of ways to manage employee leave requests using your Virtual TimeClock software.
Send a time clock message
Employees can use the built-in messaging system to send requests for time off to their managers or time clock administrators. Use a subject like 'Vacation Leave Request' and include the dates in the body of the message. Managers can then reply and add 'Approved' or 'Denied' to the subject. Based on your office workflow, managers can either add the vacation time themselves or they can copy the HR person on their reply so that person can add the leave entry when processing payroll.

Messaging is also a great tool for managers and business owners to request employee information, recognize accomplishments, and announce staff meetings.
Add a manual leave entry
You can also give employees the ability to add their own days off. This may be more security access than you want to give certain employees because it allows them to enter their own requests as actual leave entries. Managers can then review the leave requests on employee timecards or worker leave reports and either allow them to remain, change them to unpaid time off, or delete them. There is a risk with this option, however. If the requested time off isn't actually taken, then it must be deleted or else employees may still get paid for it.
Here’s a quick Tip:
Run the Leave Detail report for the current or next month to quickly see who’s already scheduled days off. It’s an easy way to check for conflicts before approving new leave requests.
